What will you do as a Quality & Compliance Specialist?

As a Quality & Compliance Specialist, you will oversee quality compliance through the implementation of programs including record keeping, reporting, auditing, planning, training, and management of quality programs associated with all facility activities including, but not limited to, SH&E, Operations, Maintenance, Engineering, Procurement, Customer Service, and Administration.

What do we expect from you as a Quality & Compliance Specialist?

  • 1-3 years’ experience implementing/maintaining a quality system in the petrochemical sector
  • Knowledge of all ISO programs; documented experience implementing ISO 9000 and Responsible Care quality policies
  • Experience working with a Document Control program; experience managing a quality system and quality audit processes; ability to perform process/documentation analyses and identify opportunities for improvement
  • Experience with technical writing applicable to procedures, work instructions, guides and manuals
  • Excellent computer skills including Microsoft Office Suite, various email and internet applications, quality software programs, etc.
  • Excellent English communication skills both oral and written; experience creating and delivering presentations; experience dealing with regulatory officials
  • Organizational skills; ability to perform detail-oriented work; proven leadership skills

What does your day look like?

Your core responsibilities are:

  • Leads and directs development, training, implementation and monitoring of quality policies, procedures and programs; develops, implements, and complies with Company global quality standards, practices, and  applicable codes; maintains continued quality of Company process systems; supports development, implementation, and measurement of quality procedures, practices, projects, and record keeping
  • Keeps the company current and drives compliance with the management systems requirements (ISO 9001, Responsible Care, CDI-T, ISCC-EU, Vopak Way IMS Standard, THA/Assure and Sustainability); maintains and documents compliance with all company standards.
  • Functions as Quality Management Representative responsible for overseeing the implementation of the Quality Management System (QMS); provides QMS awareness training; establishes an annual Quality Improvement Plan (QIP); reviews the QMS/QIP with the Leadership Team
  • Functions as Audit Coordinator/Leader responsible for overseeing various types of audits (i.e., internal, customer, third party); ensures internal audit preparation for successful results; manages the Process Health Assessment program; provides mentorship for the team members; conducts internal/contractor audits; verifies documentation; reviews process changes
  • Supervises internal and external complaint investigations as required.
  • Assists the Leadership Team in verifying the status of audit findings and ensuring timely action
  • Serves as a focal point for regional documents responsible for maintaining the Document Management System; administers document review/approval/issuance; ensures accessibility of approved documents to all employees
  • Updates permits and registrations housed in the Document Management Systems
  • Functions as Quality Coordinator for Terminal Health Assessment and CDI-T efforts
  • Facilitates Voice of the Customer meetings; works jointly with the Customer Service Manager
  • Collects data and analyzes trends/patterns; utilizes results for objective decision making; drives key performance metrics related to quality
  • Measures and validates process performance using statistical tools; performs statistical sampling
  • Functions as the stock controller monitor the correctness of the stock administration which is carried out by the Vopak team. In addition, the stock controller is responsible for identifying stock differences and reporting stock KPIs
  • Identifies and leads process improvement initiatives; establishes cross-functional teams
  • Facilitates root cause analysis for nonconformance; assists in formulating corrective actions
  • Initiates preventative and corrective actions; manages corrective action program; ensures appropriate corrective actions are identified and implemented
  • Prepares and delivers presentations at quality meetings; supports others by preparing reports/presentations
  • Prepares and submits reports to senior management and customers as required and requested
  • Stays current on quality processes and applicable technology

Work Environment

This position requires an employee to be in an office environment as well as exposed to outside elements.  Most extreme elements are heat in the summer months of up to 100°+ and some exposure to cold of generally no less than 0° in the winter months.  There will be exposure to various chemicals and compounds, including fumes and smells, some of them hazardous.  The employee may enter confined spaces and work in elevated environments.  Employee must be able to wear PPE required by the location.  General office noise may be experienced and louder sounds and vibrations when outside.  The noise level in the work environment is usually moderate.  All environments are safe with appropriate PPE.

Physical Demands

While performing the duties of this job, the employee is regularly required to walk, sit, speak and hear.  The employee is required to stand, use hands to finger, handle, or feel; reach with hands and arms; the employee may be required, on occasion, to climb or balance, stoop, kneel, or crouch.  The employee may be required to climb ladders/storage tanks up to 50’ in height.  The employee may be required to enter confined spaces.  The employee may occasionally lift and/or move up to fifty (50) pounds.  Specific vision abilities required by this job include close vision, peripheral vision, depth perception and ability to adjust focus.  Employee may be required to travel by air, rail, bus, or car.
