Position Summary

This position plans and schedules all product movements by marine and land transportation as well as arranges all pipeline needs in advance to assure terminal is prepared.

Essential Job Functions

  • Abides by all safety procedures and practices applicable to location and position; participates in appropriate safety training; demonstrates commitment to and support of SH&E principles and values; champions safety as necessary
  • Supervises logistics and planning function and assigned staff
  • Plan, schedule, and prioritize all movements for land, marine and pipeline activities
  • Coaches, develops, trains, and tracks attendance for staff; performs staff evaluations; approves overtime; coordinates staff coverage as needed
  • Supervises training and cross-training of Logistics & Planning Coordinators
  • Trains regularly on all Federal, state and local environmental regulations, requirements and guidelines including, but not limited to, RCRA requirements; follows and adheres to all guidelines, regulations, and requirements
  • Communicates with ship and barge agents and owners for scheduling and updates; verifies orders with ships and barges; creates daily vessel reports; forwards reports to customers, shipping and barge agents and Operations Department as appropriate; ensures pre-scheduled vessels are on the plan
  • Notifies Operations of upcoming activity for preparation purposes
  • Answers customer emails; updates forms and procedures as required
  • Handles non-standard customer questions and complaints; handles day-to-day issues; troubleshoots issues as necessary
  • Attends daily Operations meetings
  • Coordinates communication between staff and Customer Service Representatives, Management and Operations
  • Monitors and ensures all staff processes and procedures are followed and updated as appropriate
  • Acts as project management for Logistics & Planning improvement projects; contributes to other Company sponsored projects
  • Communicates planning between Operations, Customer Service, freighter/vessels and customers
  • Accountable for maintaining an efficient traffic flow throughout facility
  • Approves work-in land activity
  • Manages unit train activity and coordination between railroads, customers and Vopak
  • Manages on-hand railcar inventory, review outbound and inbound railcar shipments
  • Oversees logistics and planning activities for land  in Yardmaster inventory system
  • Reviews daily truck activity identifying potential issues, manpower availability and conflicting activities with marine or rail
  • Manages New Product Services and commissioning of shore tanks/systems
  • Accountable for all activities logged and up-to-date in PEPI / Yardmaster and Port Vision
  • Compares work done according to planning versus work in progress
  • Analyzes and resolves customer complaints, operational problems, (demurrage) bills and claims for customers
  • Assists operations as needed
  • Utilizes the available resources effectively to achieve maximum productivity
  • Tracks and reviews Weekly Tank KPI's for improvements and trends
  • Performs other duties assigned by management that fall within the generally expected scope of this position

Experience Requirement

  • Minimum of 5 years Terminal experience, preferably several years of which is in logistics
  • 2 – 5 years Operations experience; 2+ years experience in Customer Service
  • Minimum of 2 years supervisory experience
  • Customer service focus including the ability to communicate diplomatically; problem solver
  • Knowledge of customer's internal logistics processes; knowledge of customer contracts with Company
  • Experience working with Federal, state and local environmental regulations including RCRA
  • Ability to multi-task; experience in project management; excellent planning and organization skills
  • Good computer skills, including MS Office Suite, various email and internet programs and applications, financial, sales, and database programs, and other programs
  • Ability to manage, motivate, coach and work with other people to accomplish Company and department objectives
  • Excellent English communications skills both oral and written; good listening skills

Education Requirement

  • College degree or equivalent work experience
  • DOT Certification preferred

This position requires an employee to be in an office environment as well as exposed to outside elements.  Most extreme elements are heat in the summer months of up to 100°+ and some exposure to cold of generally no less than 0° in the winter months.  There will be exposure to various chemicals and compounds, including fumes and smells, some of them hazardous.  The employee may enter confined spaces and work in elevated environments.  Employee must be able to wear PPE required by the location.  General office noise may be experienced and louder sounds and vibrations when outside.  The noise level in the work environment is usually moderate.  All environments are safe with appropriate PPE.

While performing the duties of this job, the employee is regularly required to walk, sit, speak and hear.  The employee is required to stand, use hands to finger, handle, or feel; reach with hands and arms; the employee may be required, on occasion, to climb or balance, stoop, kneel, or crouch.  The employee may be required to climb ladders/storage tanks up to 50' in height.  The employee may be required to enter confined spaces.  The employee may occasionally lift and/or move up to fifty (50) pounds.  Specific vision abilities required by this job include close vision, peripheral vision, depth perception and ability to adjust focus.  Employee may be required to travel by air, rail, bus, or car.
